RATE TERMS & CONDITIONS

HOTEL

Best Available Rates: Payment for the full amount of the booking is taken prior to arrival. In the event of cancellation, a 100% refund will apply when a cancellation takes place 3 days or more prior to arrival. Should your booking be cancelled less than 3 days prior to arrival no refunds will be made. Please see Offer T&Cs for Advance Purchase terms. For your peace of mind we recommend purchasing suitable travel insurance to protect against unforeseen circumstances where cancellation charges would apply under our terms and conditions.

A change of date within the cancellation policy would be considered cancellation and full charges would apply.

Please be aware, a credit card pre-authorisation of £50 per night will be required on arrival to cover any incidentals during your stay. This is standard practice in hotels and any funds not used will of course be refunded (to the same card) on check-out.

Check-in from 3pm. If you wish to guarantee the availability of your bedroom prior to 3pm, we recommend reserving your bedroom the night before your expected arrival. Check-out on the day of departure is prior to 11am. We have recently landscaped the area directly in front of hotel reception, enhancing the sense of arrival. If driving, you are welcome to drive up to hotel reception to the ‘drop off only’ area, where we will be delighted to welcome you and assist with any luggage.

CHILDREN

Where applicable children are included on bed and breakfast basis. Additional beds can be accommodated and are z beds chargeable at £50 per bed based on 2 - 15 year olds. We have daily family swim in the indoor swimming pool at The Spa at 9.30am - 10.30am and 4pm to 5pm. Children under 16 must be accompanied by an adult.

SPA

Best Available Experiences (1 – 6 guests): Payment for the full amount of the booking is taken prior to arrival. In the event of cancellation, a 100% refund will apply when a cancellation takes place 3 days or more prior to arrival. Should your booking be cancelled less than 3 days prior to arrival no refunds will be made. A change of date within the cancellation policy would be considered cancellation and full charges would apply.

For 7 – 10 guests our Cabana Experiences do require full prepayment and a contract is required for bookings over £1,500.

We are only able to accept a maximum of 10 guests visiting the Spa together.

On the day: Any treatment or meal times will be confirmed on arrival at the Spa and can be at any time during the experience booked. Please arrive at Spa Reception at the arrival time stated on this confirmation and our Spa Hosts will welcome you and run through your personal itinerary. A locker, bathrobe, towel and flip flops are provided. 

Some of our facilities and treatments are not suitable for guests with certain medical conditions. Please let us know if you are seeing a General Practitioner or have recently undergone surgery. We can then recommend the most appropriate Spa experience for you.

We recommend swimwear is kept in a separate bag so you are able to enjoy the spa facilities included as part of your experience at your earliest convenience upon check-in. We have daily family swim in the indoor swimming pool at The Spa at 9.30am - 10.30am and 4pm to 5pm. Children under 16 must be accompanied by an adult. Whilst we provide robes in your room we would like to highlight, they should not be worn in Hotel Reception, Clocktower Brasserie or Rudding House

SELF CATERING

A 50% deposit is taken within 48 hours of the time of booking with the outstanding balance due no later than six weeks prior to arrival. The card on file will automatically be charged at this time.  Bookings made within six weeks of arrival dates will be charged in full at the time of booking. Should your booking be cancelled less than six weeks prior to arrival, no refunds will be made. A change of date within the cancellation policy would be considered cancellation and full charges would apply.

Should the balance payment not be received by the date due, Rudding Park reserves the right to resell the lodge.

A charge of £50 will be made for the loss of property keys.

Check-in from 4pm. If you wish to guarantee the availability of your property prior to 4pm, we recommend reserving the property the night before your expected arrival. Check-out on the day of departure is prior to 11am. On arrival please check in at the hotel reception. All lodges are non-smoking and no pets are allowed. From 10am on the day of departure the hot tub will be unavailable due to maintenance and cleaning.

FIFTY TWO

A £75 per person non-refundable deposit is required and taken at the time of reservation to act as a guarantee against the booking.

CLOCKTOWER & Horto

We hold tables for up to 15 minutes after the reserved time. Please note that late arrivals may result in cancellation without refund or the opportunity to reschedule. In the event of inclement weather, the Clocktower Terrace Kitchen may be closed. When this occurs your reservation will be relocated indoors and the main restaurant menu will be offered.

Reservations on our Clocktower Terrace are subject to a 120-minute dining time, beginning at the time of booking. All guests are expected to dine; reservations may be cancelled or service declined if food is not ordered.

ACCOUNT & RESPONSIBLITY

Upon check-in, your account is a personal debt and you accept full liability for payment in the event that the individual, company, or association responsible for the booking fails to settle any part of the charges. This includes, but is not limited to accommodation costs, damages incurred during the stay or additional charges for repair or replacement.

Please note that smoking and vaping is strictly prohibited in the bedrooms and charges will apply if the smoking policy is disregarded. Any and all such charges will be determined solely at the discretion of Rudding Park and may include compensation for loss of revenue resulting from damage or smoking. Furthermore, Rudding Park is released from any and all claims, liabilities or damages related to personal injury that you may experience, directly or indirectly, as a result of receiving spa treatments or using the spa or gym facilities. Flip flops provided must be worn at all times while using The Spa.

OFFERS TERMS & CONDITIONS

All offers are subject to availability and cannot be used in conjunction with any other offer. Terms and conditions are subject to change. All offers are correct at time of publication, refer to the current rates valid and are for new bookings only. Pre-booking is essential. Offers cannot be applied to gift vouchers or special/public events unless otherwise stated.

Accommodation Offers: All dates offered are subject to availability and can change on a daily basis. Offers will be based on double or twin occupancy in a Ribston Wing Room unless otherwise stated. Bookings can only be made directly with the hotel unless otherwise stated. The offer rate quoted is an advance purchase rate and is paid in full at time of booking. No refunds, changes or transfers will be made. Any offer including dinner is based on a £52 food allowance per adult, unless otherwise stated.

Non Residential Clocktower and Horto Offers: Apply to non residents only. Offers relate to food only and for guests choosing three or more courses unless otherwise stated. Dinner reservations start from 7pm. 

Non Residential Golf Offers: Tee times must be booked in advance unless otherwise stated.

Full terms and conditions for Conferences, Private Events and Weddings can be discussed with your Event Co-ordinator and issued on confirmation of the event.

Best Rate Guarantee: Best rate guaranteed when you book direct at ruddingpark.co.uk. If you find a lower published rate prior to, or within 24 hours of, booking an experience at Rudding Park on a third party website.
Please note the following exclusions will apply: Special 'member only' rates available to members of special programmes or associations (i.e. employee discounts). Unpublished rates not available to the general public. Special "exclusive offers" or "online coupons" offered by third party websites.

VAT

VAT will be charged at the prevailing rate.  This applies to all food, non-alcoholic beverage including – Golf, Spa, Holiday Park, House, Clocktower and Horto and accommodation – Bedrooms, and Luxury Lodges.

CASHLESS VENUE

Please be aware, Rudding Park is a cashless venue and only accepts card payments.

PRE-AUTHORISATION

Rudding Park Hotel requires all guests to provide a valid credit or debit card on check- in. This should be the card used to pay for accommodation. The hotel will pre-authorise your card for any additional charges which you may incur during your stay with us. 

A pre-authorisation is not a charge. The guests’ issuing bank/credit card company holds the pre-authorised amount temporarily from the available balance of the card holder’s account for the hotel to use. 

Pre-authorisation is a common process followed within hotels in the UK at check-in. The way it works is that a pre-authorisation request is made by the hotel’s card terminal to the card holders’ bank, your bank/credit card company authorises the funds and sends an authorisation code to the hotel. This confirms the availability of the requested funds in the card holder’s account to cover charges in the hotel (if any). 

This authorisation code is expected to be used when the transaction is about to complete (that is on check-out). If the authorisation code given by your bank/credit card company is not used by the hotel, this means that your account had no incidental charges during the stay OR the hotel has secured funds through other means (another card) and has had no need to use those blocked funds OR does not wish to proceed with the transaction due to other reasons. 

If on check out, a guest decides to pay with an alternative credit/debit card to the one provided on arrival; the amount taken from the first credit/debit card normally takes 5-7 working days to be released back to your card by your own issuing bank or credit card company. Some issuing banks and building societies may take longer specially for cards issued outside of the United Kingdom.  

If you have any queries or problems regarding the pre-authorisation after check out please contact your issuing bank/credit card company. Rudding Park hotel accepts no responsibility for any bank or credit card charges should your account become overdrawn as a result of this.

MANAGED PROPERTIES

For bookings of properties within our letting scheme, Rudding Park acts solely as an agent on behalf of the property owner. The accommodation contract is formed directly between the guest and the property owner.

Rudding Park receives booking payments as an agent and transfers these funds (less commission and applicable charges) to the owner. Rudding Park is not the supplier of the accommodation and does not assume responsibility as principal for the provision of the accommodation.

TEAM SERVICE CHARGE

What is the ‘Team Service Charge’ on my bill? 
This is a payment which recognises and rewards all employees who deliver outstanding guest service. The optional service charge is calculated on the total bill before any discounts.

Hotel Residents:
5% on the room element of your bill will be charged at checkout, along with 12.5% on food and drink consumed at Clocktower Brasserie, Horto & FIFTY TWO.

Non-Residents at Clocktower Brasserie, Horto & FIFTY TWO:
12.5% on food and drink

Non-Residential Spa Day Guests:
£5 per person is charged on departure 

Can it be removed from my bill?
Of course. We will remove it immediately.
